What is kept, and what never is
Team activity keeps only the numbers: never what you wrote or said, which pages you opened, or the time of day. Emails, notes and calls are still kept where they always were; team activity only counts them. Counts are kept for 25 months.Switch it on
1
Open Settings > Team activity
Only an account owner can switch it on.
2
Check what counts
Set the points for each kind of activity, and who is left out, before switching on.
3
Switch on and tell the team
Hiveku shows what the team will be told, then tells everyone who is counted with a notice in the app. Counting starts that day, never earlier, so the squares fill in a day at a time.
What counts, and for how much
Every number can be changed, from 0 (not counted) to 100. One kind of activity counts at most 30 times a day by default (you can set 1 to 100), so a bulk send or a busy AI app can’t fill a day. Work days are Monday to Friday.
Who is counted
Everyone who is a member of the account is counted, including Hiveku staff who are members of it. Staff who only help in an account without being a member of it are never counted there.- Leave out anyone who works mostly outside Hiveku. Nothing of theirs is counted, and the board says so. Counting someone again tells them what is counted from that day.
- Departments: give each person a department (Sales, Marketing, Support, Communications, Projects, Finance, Websites or AI) for the department boards.
- People who join later are counted from the day they join, and are told so.
Who sees what
- Each person always sees their own counts.
- Owners and admins, and any role given Team activity: View in Settings > Team Members > Manage Roles, see everyone’s counts, the whole leaderboard and who has gone quiet.
- Who sees the leaderboard sets what the rest of the team sees:
- Everyone sees the top three and the badges (recommended). Owners and admins see the whole list.
- Only owners and admins. The team sees their own place and nothing else.
- Everyone sees the whole list. The people at the bottom are shown to their colleagues.
The leaderboard, trophies and badges
The leaderboard puts people in order of points for this week, last week or this month, for the whole team or one department. Each week Hiveku closes the week, ranks the team and gives out:
Each award can be switched off in Trophies and badges.
The end-of-week email
After each week closes, owners and admins get an email with the whole week: the leaderboard, the trophies and badges, and a private box saying who was quiet or off.- Send the end-of-week email on the day and hour you choose (Monday at 8:00 am unless you change it), in the account’s time zone.
- Also send it to up to 10 other addresses, such as an accountant. They get everyone’s points, the top three and the badges, but never who was quiet or off. Addresses of Hiveku staff never get it.
- A shorter email to the whole team, if you want one: the top three and the badges only. It never says who was quiet, and it isn’t sent while only owners and admins see the leaderboard.
- Send me a test sends the last closed week’s email to you alone, marked as a test.
Where it shows
- Settings > Team Members: everyone’s squares above the list for owners, admins and anyone given Team activity: View, your own row for anyone else.
- Accounting > Members.
- Dashboards: the team activity widgets (Team activity, Quiet lately, One person’s year, Who did what this week and the Leaderboard), on the home or any dashboard.
Switch off or delete
- Switch off stops counting at once. What was counted is kept until it ages out.
- Delete all team activity (owners only) deletes every count, trophy and badge for good, with the record of who was told, and switches team activity off. Your settings are kept.
