A project keeps everything for one piece of work in one place: a product launch, a campaign, a new website. You add its tasks, give each one an owner and a due date, and see at a glance what is waiting, moving and done. This guide plans the launch of Northwind’s Holiday Blend.

Make the project

1

Click New Project

Click PM Projects in the left rail. Next to Projects, click + (New Project).
The PM Projects sidebar with My Tasks and Projects, and the plus button next to Projects outlined

New Project, next to Projects

2

Describe it and create it

Give it a Name and, if you like, a Description. Pick a Type (it sets the project’s icon in the list), a Status, a Priority and a Due date. Site connects the project to one of your websites; leave it on No site for work that is not about a site. Click Create project.

Fill in the details

The task’s edit form opens straight away. Pick who does it under Assign To, set a Due Date, and add a Description if it helps, then click Save Changes. Click Cancel to keep just the name for now.

An owner and a due date

The person you assign gets a notification that the task is theirs.

Group tasks into sections

Sections split a project into stages, such as “Launch week”.
1

Add a section

Click Add section under the list, type its name and click Add.
2

Move tasks into it

Drag a task into the section, or click ⋮ at the end of the task’s row and pick the section under Move to section.
The task menu open on Roast three test batches of the Holiday Blend, with Edit, Copy link, Move to section and Launch week, outlined, and Delete

3

Give the section an owner

Click … at the end of the section’s row, then Default assignee, pick a person and click Save. Unassigned tasks you add to the section, or move into it, from then on go to that person. Tasks already in the section keep their owner, or none, so set the default before you move tasks in, or assign those yourself.

Look at it your way

The icons at the top switch the view (hover one to see its name): a board with a column for each status, where you drag a card to move it on; a list; a table; a timeline with each task as a bar across the weeks; and a workload view of how many tasks each person has, week by week. In the list, … has Group by status.

Project settings (the gear, or … in the list) holds the rest. Task Statuses sets the columns and what each one counts as (To do, Active, Done or Cancelled), Custom Fields adds your own fields to tasks, and Integrations posts task updates to a Slack or Discussions channel.

Tasks for a website

Every website gets its own project, named after the site. In the site builder, the Tasks icon above the preview opens it, so you can plan the site’s work next to the site itself.

Good to know

  • My Tasks at the top of PM Projects lists every open task assigned to you, across all projects.
  • Done with a project? Click … next to it in the list, then Archive. It leaves the list, and its tasks stop counting as open work.
  • More: Project Management covers every setting, and Manage Project Tasks covers a site’s tasks in the builder.
