Some work should happen on a schedule: a list to check every Monday, a report every morning. A workflow with a Scheduled Trigger runs at the times you choose, in your time zone. This guide builds a Northwind workflow that runs every Monday at 9 AM Pacific time and gives the team a follow-up task for every wholesale deal waiting on a tasting.

Start the workflow

1

Create a blank workflow

Click Workflows in the left rail, then New Workflow. Type a name, then click Create Blank Workflow.
2

Keep it switched off while you build

Check that the switch at the top right reads Disabled. If it reads Enabled, click it. A scheduled workflow that is switched on runs at its next time, even while you are still building it.

Describe it to the assistant

In the AI Workflow Assistant on the left, say when it should run and what it should do, and press Enter. For Northwind:
Every Monday at 9 AM Pacific time, find the deals in our Wholesale Sales pipeline at the Tasting Sent stage, and create a CRM task for each one to follow up on the tasting, due the same day. Keep the workflow switched off; I will test it first.
The assistant adds the steps, checks them, and tells you what it built and when it would next run.
The assistant's answer: the workflow and its schedule left switched off, Mondays at 9:00 AM Pacific, and the next slot Monday, October 26 at 9:00 AM Pacific, outlined

The trigger and the three steps after it

You can also add the trigger yourself: click the settings icon at the top right, then Browse All Nodes, and pick Scheduled Trigger.

Check the schedule

Click the trigger. Under Schedule:
  • Frequency: how often it runs, from Every 5 minutes to Monthly. Weekly runs on the days you pick.
  • Hour and Minute: the time, on a 24-hour clock (9 and 0 is 9:00 AM).
  • Days of the week: for Weekly, click each day it should run.
  • Timezone: the time zone the schedule follows.
The line under Frequency reads the schedule back to you, and the trigger’s card says it in words.

Click Save Workflow.

Test it

Click Test Run. The workflow runs once now, as a test: steps that read use your real data, and steps that save or send are only simulated. Here it found three deals at Tasting Sent and would have made three tasks; the banner reads Test completed.
The four steps, each marked Done: the trigger, Find Wholesale deals, Create one follow-up per deal and Create tasting follow-up task

Every step done, nothing saved

Switch it on

When the test looks right, click the switch so it reads Enabled. It then runs at each scheduled time, starting with the next one. There is no button to run it for real right away: use Test Run to try it.
