A template gives you a working set of steps to start from, so you only fill in your own details. This guide uses the Form Lead to CRM + Notifications template on Northwind: a form on another website (such as Typeform) sends each new lead to Hiveku, which saves the person in your CRM, emails them a welcome and tells your team on Slack.

Create it from the template

1

Pick a template

Click Workflows in the left rail, then New Workflow. Under Start from a Template, pick a category, or All, and click a template.

2

Name it and create it

Change the Workflow Name to something your team will recognize, then click Create from and the template’s name.

3

Switch it off while you finish it

The new workflow may open switched on. Check the switch at the top right: if it reads Enabled, click it so it reads Disabled. A workflow that is switched on runs for real as soon as its trigger fires.

Fill in what it needs

The canvas shows the template’s steps. A step that still needs settings carries a badge such as 1 of 2 set.

The four steps, and the one still to finish

1

Finish each flagged step

Click the step and fill in the fields marked with a red star. Here, Notify Slack needs a Webhook URL from Slack (the panel links to where you make one).

2

Make the other steps yours

Click each step and read it. Change the Welcome Email to your own words and sender name, so it sounds like your business.
3

Connect the form

Click the trigger, Form Submission, and click Create Webhook URL. Copy the address it shows into your form tool’s webhook settings. Anyone with the address can start the workflow, so keep it private, or choose an Authentication type such as Bearer Token that your form tool can send.

Create the address your form sends to

Click Save Workflow.

Test it with sample data

1

Give the test a sample

On the trigger, open the Input tab. Under Test sample, type a Request body (JSON) like the one your form sends and click Use for Test run.

2

Run the test

Click Test Run. Sending and saving steps are only simulated, so nobody is emailed and nothing is saved. A step that cannot run turns red and says why.

The test shows what is left to fix

Fix what it names, save, and test again until it reads Test completed.

Switch it on

When the test is right, click the switch so it reads Enabled. From then on, every lead your form sends starts the workflow.

Good to know

  • Check each template’s steps before you switch it on. Some templates publish, send or change things on a schedule as soon as they are switched on.
  • Change anything. Ask the AI Workflow Assistant on the left, or click a step and edit it.
