Your chief of staff takes a goal, such as “which deals should I chase today?”, makes a plan, hands each part to the right agent on your AI team, and checks with you before anything goes out. You choose what is sent, one decision at a time. This guide asks Northwind’s chief of staff which wholesale deals to chase today. The sales agent reviews every open deal, and the chief of staff brings back what to do next.
Northwind is a demo account whose AI Hiveku pays for, so the pictures say Covered by Hiveku. On your account, the same places show what the work costs in AI credits, and the starting point says how much it may spend before it checks with you.

Choose what you want done

On your home page, the Get something done card offers three starting points picked for your account, such as Know which deals to chase today or See what moved this week. Click one, or click Something else to say it in your own words.

Get something done, on the home page

The chief of staff opens beside the page and says what the starting point does and how long it usually takes. Click Start.

Start, with what it will do

Check the plan

In a few minutes, the chief of staff writes The plan: the goal, each step, and which agent is on it. Under the plan:
  • A line shows how much AI the plan has spent so far, out of its budget.
  • When a stage is done chooses what happens after each stage of the plan, a group of steps that run together. Check with me first waits for your OK before the next stage. Keep going until the plan is done carries on, up to the plan’s budget. You can change this later on the Plan tab.
The plan: review every open sales deal, identify close and stuck opportunities, rank follow-ups and bring each proposed message or CRM change back for individual approval; Assess every open deal, with the sales agent on it; Used $1.37 of this plan's $5 budget, outlined; and When a stage is done with Check with me first chosen, outlined

The plan, handed to the sales agent

The work keeps going if you close the page. Each request becomes a Room: click Rooms in the chief of staff panel to find it again, with what it has cost so far. Steer a Room covers its pace, limits and Boardroom.

Read what your team found

When the agent finishes, its report appears in the Room, and the bar under it reads Needs you with a Continue button. The sales agent took about 20 minutes to check all 11 of Northwind’s open deals. Read full report shows the whole message. The full write-up is on the Room’s Notes tab.

The sales agent's review is done

Click Continue for the next step. The chief of staff sums up what the agent found, and if something is unclear, it asks you. Here it noticed that the contacts’ email addresses look like samples, and asked before writing to them.
The chief of staff's summary: Follow up first: Driftline, Lanternwick, then Ninebark; Stale: Sunrise and Brooklyn need current-status checks; Service-area blocker: Old Mill, outlined; and its question about the contacts' example.com addresses, outlined

What to do next, and a question for you

To answer a question, type in the message box. When it asks on a card instead, pick an answer there and click Confirm.

Approve or reject each decision

Before a message goes to a customer, or something is published, deleted or paid for, a card waits for you on the Decisions tab, and the bar above the message box reads Needs you with how many decisions are waiting. Here the starting point also asked for every CRM change to come back as a card. Each card shows who asks, the question, and a preview of exactly what would go out.

An email the sales agent drafted, waiting for you

1

Pick Approve or Reject

Clicking an option only selects it. When approving sends a message, the first option reads Approve and send; these sample cards send nothing, so theirs reads Approve. With Reject, you can say why, so the team learns what you want.
2

Click Confirm

Your answer goes to the team. Approving a send, a publish or a delete waits 5 seconds with Undo before it goes ahead, and a card says so when an approval can’t be taken back.
Reject selected with the reason Sample deals only, so nothing is sent from this review, outlined, and the Confirm button, outlined

Rejected, with a reason

The card stays in the Room as a record of who answered and when, and the chief of staff moves on to the next card. Northwind’s deals are samples, so these cards only record the choice: nothing is sent and no record changes. Here the run was stopped after the first card.
The chief of staff explains that approval records the choice for each example without sending or changing anything, the card Rejected by Jamie 12:02 PM, and the line that neither choice sends a message or changes a CRM record, all outlined

Good to know

  • It asks before anything goes out. Messages to customers, publishing, deleting and spending wait on the Decisions tab. Owners, admins and members can answer them; viewers see them only.
  • Answer from your phone. When a decision has waited 10 minutes, Hiveku notifies you, and emails you after an hour. The notification opens that one card.
  • Stop it any time. While it works, the bar above the message box shows Stop, and Continue picks it up again.
  • It follows what your team knows. The chief of staff and every agent read About your business, and each agent follows its own rules and skills.
