Your AI team already knows the basics about your business. For the details that live in documents, such as a price list, a returns policy or an equipment manual, make a knowledge base and upload the files. Your agents then look things up in it instead of guessing. This guide puts Northwind’s wholesale price list into a knowledge base and asks a question about it.

Make a knowledge base

1

Open Knowledge Base

Click Marketing in the left rail. On the Knowledge Base card, click View & manage, then Create Knowledge Base.
2

Name it and choose who may use it

Give it a Name and a short Description of what it holds. Under AI Context Type, choose which agents may read it: General lets every AI feature use it; the others limit it to one area, such as SEO AI or Website AI. Click Create.
Create Knowledge Base: Name Wholesale price list, outlined; Description Our wholesale prices, minimum orders and delivery days for cafés and shops; AI Context Type General, Available to all AI features, outlined; Fidelity Mode Standard or High Fidelity; Set as default for General; Tags; and Create, outlined

High Fidelity keeps tables and long technical text intact; pick it for manuals. Standard suits everyday documents.

Add your documents

Click View Details on the knowledge base. Under Add Content, click Choose File, pick a TXT, PDF or Word file up to 10 MB, and click Upload & Index.
Add Content with Upload File and Scrape Web Page: Choose File with wholesale-prices.txt, outlined; Supported formats TXT, PDF, DOCX (Max 10MB); and Upload & Index, outlined

The price list, ready to upload

A few seconds later the document is listed under Content, with a preview of what the AI will read.

To add a page from a website instead, click Scrape Web Page and paste its address.

Ask about it

The AI Knowledge Agent on the left of the page answers questions from your knowledge bases. Under Context, pick the knowledge base under Knowledge base. Then ask, naming the knowledge base in your question so the agent looks there first.
Context: Wholesale price list, outlined; the question Look in the Wholesale price list knowledge base: what is the minimum order for single origin beans, and when must a café order by for Friday delivery?; and the answer, outlined: Single-origin beans have a 5 lb minimum order ($17/lb). For Friday delivery, order by Thursday at noon. Source: wholesale-prices.txt in the Wholesale price list knowledge base

An answer from the price list

The answer says which document it came from. Your other agents, such as the sales agent, read the same knowledge base when they need it.

Good to know

  • Out of date? Click Archive on a document to take it out of what the AI reads, without losing it. Delete removes it for good.
  • Prices change? Upload the new file and archive the old one, so the AI never mixes the two.
