Your AI team answers from what it knows about your business. About your business is the one page every agent reads in every chat: what you sell, who does what, what you are working toward, and how you like to work. Write it once, keep it short and current, and every agent answers like someone who works with you. This guide writes Northwind’s page, with its wholesale minimum and who confirms delivery dates, then checks that the sales agent uses it.

Open About your business

Click Memory in the left rail, then About your business at the top of the list. It reads Every agent reads this.
The Memory page with About your business, Every agent reads this, outlined in the list on the left

About your business, in Memory

The home page has the same page in its About your business card: click Start writing there the first time, and Edit after that.

Write it

1

Start from the five headings, or from what Hiveku already knows

The first time, click Start writing for a page with five headings, or Import what Hiveku already knows for a first draft from what your chief of staff has noted, your business details, your brand guide and your answers from when you signed up. Nothing is saved until you save it.
2

Fill in the five sections

Write a few short lines under each heading:
  • About the business: what you sell, where, and to whom.
  • Team and roles: who does what, and who decides what.
  • Goals right now: what you are working toward this season.
  • Active initiatives: launches and projects under way, with their dates.
  • How we like to work: the rules of thumb your team follows.

3

Save it

Under What changed and why (optional), say what you changed, so your team can follow the page’s history. Then click Save this draft (after the first time, the button reads Save). Your agents read the saved page in their next chat.
The saved page shows each section, and a line that counts what your AI team reads in every chat: this page and the suggestions not reviewed yet. It reads up to 8,000 characters and stops there, so shorter is better, and a full bar is not the goal.

Saved: what your AI team knows

Your website assistant and your phone receptionist use the About the business section with visitors and callers. Keep anything private, such as your margins or your team’s phone numbers, in the other sections.

Check what your agents suggested

As they work, your agents suggest facts to add. The box at the top of the Memory list counts them: it reads Needs your OK when one waits for you, and Not reviewed yet otherwise. Click it to see each one, who suggested it and when.
  • Not reviewed yet: your AI team already uses it. Keep adds it to the section it fits best, and Remove takes it out. To edit it first or choose the section, click the line, then Edit before keeping and Add it under.
  • Needs your OK: your AI team doesn’t use it until you keep it.
Two suggestions marked Not reviewed yet, From your chief of staff, each with Keep and Remove; the second one, about two Portland cafés, is outlined with its Remove button

A suggestion from the chief of staff

Northwind runs three cafés, so this suggestion’s “two Portland cafés” is out of date: Remove takes it out, and the message at the bottom of the page offers Undo.

See an agent use it

Click an agent under Your AI team, for example your sales agent, then Chat with and its name. The line at the top says what it reads in every chat. Ask it something your page answers.
The sales agent's chat: the line saying that in every chat it reads About your business, 4 rules and 3 skills, outlined; the question about a café's wholesale order; and the agent's answer outlined: the wholesale minimum is 10 lb per month, delivered every two weeks, and don't promise a delivery date until Jamie Holloway confirms it

Good to know

  • Who can change it. Owners and admins. Teammates who can read it can suggest a line instead, with Suggest an addition.
  • Keep it current. When a goal, a launch date or a person changes, change the page. Agents follow what it says, even when it is out of date.
  • One agent only? To give one agent a rule or a set of steps, see Give an Agent a Rule or a Skill.
