Your availability is when people can book you: your weekly hours, the dates you are off, and a few limits such as how much notice you need. Every meeting type uses it unless the meeting type sets hours of its own. This guide sets Northwind’s hours to weekdays from 9 to 4, Pacific time, and takes Thanksgiving off.

Open your availability

Click Calendar in the left rail, then Availability.
The Calendar menu with Availability outlined, under Setup

Availability, in the Calendar menu

If you manage a team, Showing availability for at the top also opens a teammate’s hours. Until you save your hours for the first time, the page says These are the default hours. If they are already right, click Keep these hours.

Check your time zone

The Time zone card shows the time zone your hours are read in. Guests see your times converted to their own time zone, so a guest in New York sees a 9:00 AM Portland time as 12:00 PM. If your computer is set to a different time zone, the card says so and offers to switch.

Set your weekly hours

1

Pick your days

Under Weekly hours, switch each day on or off. A day that is off reads Unavailable.
2

Set the times

Choose a start and an end time for the day. Add hours (the + button) adds a second set of hours on the same day, for example around a lunch break, and Remove (the x) takes one away.
3

Copy them to other days

Click the copy button at the end of the row, tick Weekdays and click Apply to 4 days.

Set your limits

Under Scheduling defaults:
  • Minimum notice: how soon before a meeting guests can still book it.
  • Booking window: how many days ahead guests can book. Leave it empty for up to a year.
  • Daily limit: the most meetings you take in a day, across all your meeting types.
  • Start times every: the gap between the start times guests see. The meeting’s length offers times back to back, such as 9:00, 9:30 and 10:00 for a 30-minute meeting.
Every meeting type that doesn’t set its own uses these.
Scheduling defaults: Minimum notice 4 hours, Booking window 60 days, Daily limit 6 meetings outlined, and Start times every The meeting's length

Northwind takes at most 6 meetings a day

Save

Click Save changes in the bar at the bottom. The Meeting types card beside your hours shows which meeting types use them, and what each sets for itself.

Both Northwind meeting types use these hours

Add a second set of hours

To offer some meetings at other times, such as evenings, click New schedule next to Schedule at the top. Give it a name, start from A copy of Working hours or Empty, and set its hours. A meeting type can then use it instead of your working hours, under Availability & limits.

Good to know

  • Guests see their own time. The times guests are offered are converted to their time zone, and the booking page says which zone they are in.
  • The Calendar page’s time zone is separate. The time zone at the top of the Calendar page only changes how that page shows times on your device. Your booking hours follow the time zone on this page.
  • Connect a calendar. Until you connect a calendar under Calendars, guests can book over your other meetings. The Conflict calendars card on this page says which calendars block bookings.
  • More: Availability covers the details. To give one meeting its own hours or notice, see Create a Meeting Type People Can Book.
