A meeting type is one kind of meeting you offer, such as a quick intro call or an hour-long consultation. Each one has its own length, place, booking hours and form, and its own link. Live meeting types are also listed on your booking page. This guide creates Northwind’s Wholesale tasting call: a 30-minute phone call with cafe owners who want to serve Northwind coffee.

Choose where you meet

Under Location, choose how the meeting happens. Hiveku Meet, the first choice, creates a video room for each booking. Northwind’s tasting call is a Phone call. Then choose We call the guest, and the booking form asks guests for their number, or The guest calls us, and guests are shown the number to call. Instructions for guests adds a note, such as the number you will call from.

A phone call, where Northwind calls the guest

A Google Meet link is made on the host’s connected Google calendar, and a Microsoft Teams meeting on a connected Outlook calendar (or you paste one Teams link for every booking). Without that calendar, guests get no link, so connect it first under Calendars.

Set when it can be booked

Under Availability & limits, the first choice books this meeting in the host’s weekly hours from the Availability page. It reads Use your availability when you host it yourself. Custom hours for this meeting type gives it hours of its own. Then:
  • Minimum notice: how soon before the meeting guests can still book it. Northwind asks for 2 days, so the sample bags arrive first.
  • Booking window: how many days ahead guests can book.
  • Buffer before and Buffer after: free minutes kept before and after each meeting.
  • Daily limit: the most bookings of this meeting in one day.
Fields you leave empty use the host’s availability.

Good to know

  • Switch it off for a while. The Live switch on the meeting’s card stops new bookings until you switch it on again.
  • Link-only meetings. Under Advanced, Hide from the booking page (link only) keeps a meeting bookable at its own link without listing it on your booking page.
  • Reuse a setup. Duplicate, in the … menu on a card, makes a copy of a meeting type. The copy stays off until you switch it on.
  • More: Meeting Types covers every setting. To share the meeting with your booking page, see Set Up Your Booking Page, and to change the hours it uses, see Set Your Weekly Hours and Days Off.
