Rent, software subscriptions and retainers cost the same every month. Set them up once as a recurring bill and Hiveku adds the bill to your Bills on schedule, ready for you to pay. This guide sets up a made-up monthly rent bill for Northwind, pauses it, then deletes it, so no bill was made.

Add a recurring bill

Click Commerce in the left rail, then Recurring under Payables. Click New recurring and fill in:
  • Name: what the bill is, for example “Roastery office rent”.
  • Vendor: who you pay. Pick one from your vendors, or leave it empty.
  • Amount (USD): what each bill comes to.
  • Description: a line for the bill.
  • Category: where the cost belongs in your books, such as Rent, Software or Utilities.
  • Every: how often, for example 1 and month(s). Days, weeks and years work too.
Click Create.

A monthly rent bill

The schedule appears in the list with its amount, how often it repeats and the date of the next bill.

The schedule, active

The first bill is dated the day you create the schedule and arrives in Bills overnight, then one every period after. To start next month instead, create it on the day the first bill is due.
Each bill is dated the day it covers and falls due by the vendor’s payment terms, or your account’s default terms. You’ll find it under Bills.

Pause or delete it

Click Active on the row to pause it: it turns to Paused and makes no more bills. Click Paused to start it again; it picks up at its next date and doesn’t bill dates it missed.

Paused

To remove it for good, click the trash icon on its row, then Delete. Bills it already made stay in Bills. Northwind paused its made-up rent right after creating it and then deleted it.

Good to know

  • Change the amount or repeat with the pencil on the row. Changing how often it repeats sets a new next date, without billing again right away.
  • Archiving a vendor pauses their recurring bills at their next date, so you stop paying someone you no longer use.
  • Record paying a bill: see Enter a Bill and Record That You Paid It.
