Your sales agent’s settings apply to everyone on your account. Two of them shape everyday use: the most a chat with it may spend, and whether a contact’s stage follows their deal, so your contact list always shows who is close to buying. This guide sets both on Northwind and moves a demo deal to show the contact following it.

Open the settings

Click CRM in the left rail, then Setup in the bar at the top, then Settings. Under AI, click Sales agent. The page is titled Your sales agent settings.

Cap what a chat may spend

1

Type the most a chat may spend

Under Most you spend per chat, type an amount in dollars. When you type to your sales agent on the CRM pages, it stops the chat once it has used that much. The limit does not apply to mentions in Discussions, its reminders, tasks you give it, or work in a Room.

Save

Click Save at the bottom. Saved appears beside it.

How hard it thinks has nothing to choose: on the CRM pages, in Discussions, and for its reminders and tasks, your sales agent works at the same level as a Room set to Standard. Only work you hand it in a Room set to Premium goes deeper.

Keep contact stages in step with deals

Tick Keep contact stages in step with deals and click Save. From then on, when a deal moves to a stage that has a matching contact stage, every contact on the deal moves too.

Choose the matching stages

Each pipeline stage can have a matching contact stage. Open Pipelines & stages in CRM settings: a stage with a match shows it after an arrow. Northwind’s Café Accounts pipeline matches Inquiry to Lead, Tasting Scheduled to Prospect, Trial Order to Opportunity, and Closed Won to Customer.

Each stage and the contact stage it matches

To set or change a match, click the pencil beside the stage and pick one under Matching contact stage, then Save. When you add a stage, pick its match in the list beside the stage name. A stage with No contact stage never moves anyone.

See it work

1

Note the contact's stage

Ava Larsen, the contact on Northwind’s demo deal, is a Lead. The deal is at Tasting Scheduled.

2

Move the deal

If the page still shows the old stage after you save, reload it.

Check the contact

Open the contact. Ava Larsen is now an Opportunity, because Trial Order matches Opportunity, and her deal shows Trial Order.
