A deal is a sale you are working on: who it is with, what it is worth and when you expect it to close. On the Deals board, each stage of your pipeline is a column, and you move a deal along by dragging its card. This guide adds a Kestrel Lane Bakery espresso deal to Northwind’s Wholesale Sales pipeline, moves a coworking deal to its next stage, marks a hotel deal won and a café deal lost, and then reads the board.

Add a deal

1

Open Deals

Click CRM in the left rail, then Deals at the top, then New Deal.
2

Fill it in

Type the Deal name. Pick the Pipeline and the Stage the deal has reached. Add the Deal value, the Currency and the Expected close date, then click Create Deal.

A $4,320 espresso deal, starting at Lead

The deal’s card appears in its stage’s column. The top of each column shows how many deals it holds, what they are worth, and the weighted value: that total times the stage’s chance of closing.

The new deal in Lead

At the moment a card on the board can show its close date one day early, such as Closes Dec 9 for a deal closing on December 10. The date on the deal itself is right.
Click a card to open the deal. Under Contacts, type a name in Search contacts… and click the person. Companies works the same way.

The owner is the teammate the deal belongs to. A deal you create starts as yours. To give it to someone else, or to set an owner on a deal that has none, click the owner line under Deal info and pick a teammate.

Picking the owner

To change the value, the close date or anything else later, open the deal and click Edit deal.

Move a deal to its next stage

On the board, drag a card into the next column. Here the Bramblewood Coworking deal moves from Lead to Tasting Sent, once Northwind has sent its tasting box.

Let go, and the deal is saved in its new stage. Both columns’ counts and totals change at once.

Mark a deal won

1

Drag it to your won stage

Drag the card into Closed Won. A stage whose name starts or ends with Won closes the deal as won, so it counts as won from then on. If you have a workflow that starts when a deal is won, it starts now, so any email it sends goes out.

2

Say why you won it

Open the deal and click Edit deal. With Status set to Won, a Why did we win? box appears. Type the reason and click Save.

You can also close a deal without dragging it: pick Won in Status and click Save. The deal stays in the stage it is in.

Mark a deal lost

1

Set the status to Lost

Open the deal, click Edit deal, and pick Lost in Status.
The Status list open below Open, with Open, Won and Lost, and Lost outlined

Open, Won and Lost

2

Say why

Type the reason in Why was it lost? and click Save. Here the café chose a roaster that delivers every day.

Lost, with the reason

The deal now reads Lost next to its stage. It keeps the stage it reached, so you can see how far it got.

Read your pipeline

The list just left of New Deal shows All deals to start with. Pick Open to see only the deals still in play, or Won or Lost to see the ones you closed.
The status list open next to New Deal, with Open outlined above Won, Lost and All, which is checked

Open, Won, Lost or All

With Open, each column adds up only the open deals, so the board shows what is still to win. The lost Juniper Row deal has left Tasting Sent, and Closed Won is empty.

With Lost, only the lost deals show, each in the stage where it stopped.

The list next to Deals switches to another pipeline, Everyone narrows the board to one teammate’s deals, and Search deals… finds a deal by name. Table lists the deals as rows: click a column’s name to sort by it, for example Close date to see which deals are due first. Your browser remembers whether you last used Board or Table.

Good to know

  • Moving a deal out of Closed Won doesn’t reopen it. To reopen a deal, set its Status back to Open in Edit deal.
  • Editing a won or lost deal later? The reason box opens empty. Type the reason again before you click Save, or the reason saved before is cleared.
  • Contacts can move with their deals, and workflows can start. When a deal enters a stage that has a contact stage mapped to it, the people on the deal move to that contact stage, as long as Keep contact stages in step with deals is on in CRM settings. A workflow that starts when a deal is won or lost runs once, when the deal closes; saving a deal that is already won doesn’t run it again.
