A ring group rings several phones for one call: everyone at the front desk at once, or one after another. Whoever answers first takes the call, and if nobody does, the call goes where you choose, such as a voicemail box. This guide makes a Front desk group for Northwind that rings two phones at once and goes to voicemail after 25 seconds.

Make the group

1

Open Ring groups

Click Communications in the left rail, then Routing at the top, then Ring groups. Click New ring group.
2

Name it and pick how it rings

Type a Name and a Group extension, the short number your team dials to reach the group (7000 and up keeps it apart from people’s own extensions). Under Strategy, pick how the phones ring:
  • Blast: every phone rings at once, and the first to answer takes the call.
  • Hunt: the phones ring one at a time, always starting with the first.
  • Round robin: each call starts with the next person in turn, so calls are shared out.

Choose where unanswered calls go, and who is in it

Ring seconds is how long the phones ring. Under If nobody answers, choose where the call goes then, such as Voicemail of an extension and whose voicemail box. Without one, the caller hears silence and the call ends. Under Members, tick the phones that should ring.

Note what the number rang before you change it, so you can set it back. Each person’s own phones are listed as a ring group too, under One person’s phones.

Good to know

  • Change or remove a group with the pencil or the bin on its card. Before you remove one, point any number that sends calls to it somewhere else.
  • Callers wait in line instead? A ring group rings once and then gives up. To hold callers until someone is free, use a call queue.
